Less time on the administration behind your practice.
KAI works with independent medical offices and small law firms on the tasks that keep staff at their desks: entering records, preparing paperwork, and following up on inquiries. We scope the work with the people who do it and plan how confidential information will be handled.

Make the business side easier to see.
When practice information is spread across reports and spreadsheets, even a routine business question can take time to answer. We work with your staff to decide what the office needs to track and where repeated administrative work can be reduced.
Practice performance. Define useful KPIs and business breakdowns, with clear sources and definitions.
Administrative follow-up. Review how staff keep track of outstanding work and the next person responsible.
Planning. Consider expected activity and business scenarios with the assumptions visible.
Possible areas for a custom engagement, agreed with your practice. Planning estimates are not guaranteed outcomes; clinical judgment stays with qualified professionals.
A new inquiry needs a next step. Routine forms need preparation and review. KAI helps your firm examine those tasks and decide which parts can be made simpler.
Client connections
Look at how inquiries reach the right person and how the firm follows up.
Paperwork
Identify repeat preparation, entry, and routing tasks that may be automated with attorney review.
Day-to-day coordination
Make responsibilities and next actions easier for the team to follow.
The scope depends on your firm. Confidentiality, permissions, and attorney oversight guide the work; legal decisions remain with your professionals.
Agree on the safeguards before sharing sensitive records.
Security requirements are part of the scope, not something left until delivery. The selected services, contracts, and configured controls must be checked before confidential information is introduced.
Healthcare agreements and HIPAA
KAI has a Business Associate Agreement (BAA). For each healthcare engagement, we establish the applicable obligations and execute required BAAs with the practice and relevant providers before handling protected health information. The plan addresses applicable HIPAA Privacy, Security, and Breach Notification requirements with the practice's compliance team.
Encryption, access, and audit records
The security plan specifies encryption in transit and at rest, key management, role-based access, multi-factor authentication, and audit logging for the selected environment. Access is limited to approved people and the information they need. Configuration and access must be verified before use.
AI providers and data boundaries
We agree on what information is needed, where it may be stored or processed, and retention and deletion rules. Any AI service requires review of its specific configuration, contractual terms, permitted data use, and required agreements. Confidential records are not introduced on the assumption that every service has the same protections.
Recovery and professional oversight
Backups, tested recovery, access reviews, updates, and incident response need named responsibilities. Attorneys and clinicians keep responsibility for their professional decisions, with review steps defined in the work. Encryption and a BAA are parts of the plan; neither alone establishes compliance.
What happens after we talk?
Your first two hours and consultation are free. We use that time to understand the office and identify a change worth pursuing. An agreed scope then moves through a testing build, production build, and final build, with your team involved along the way.
KAI supports the work at every step and after delivery. We agree on staff involvement, training, maintenance, and how issues will be handled before the work proceeds.
We review your existing tools first. Any proposed connection or replacement must be checked for vendor access, support, cost, and fit before it is included in the scope. We do not assume an integration is available.
How much staff time will this take?
We need input from the people who will use the system. We agree on who participates and when feedback is needed so the office can keep running.
What should we share to get started?
A general description of the task is enough. Please do not send patient information, confidential case details, passwords, or sensitive records through this website.
