Our approach

Kanawha AI L.L.C. respects the trust involved when you share information about your company and its operations. This policy explains what we collect through kanawha.ai, why we use it, and the choices available to you.

Information you provide

When you submit our contact form, we may receive your name, company, work email, phone number, area of interest, and the project or operational details you choose to share. Please do not submit passwords, financial account information, protected health information, export-controlled material, or other highly sensitive data through the website.

Private demonstration access

The GeoBase demonstration uses a USGS basemap. Our server requests public map tiles from USGS; your contact details, agreement record and fictional report contents are not included in those requests. Map tiles and demonstration files are delivered through KAI's hosting provider.

Interactive demos require your full name, company, work email and acceptance of the Demo Evaluation and Confidentiality Agreement. No account or sign-in is needed. Contact details and company authority are self-reported and are not verified by this form. We record a randomly assigned evaluation identifier, the agreement version, document hash, and acceptance time to manage access and establish what was accepted. These records are stored in the site's Cloudflare D1 database; they are not sent through the contact form. Providing an email does not subscribe you to a marketing list.

When available, we also store the network IP address reported by our hosting provider at agreement acceptance, together with its source, in that private acceptance record. We use it to document access, investigate misuse and handle legal claims. It is not included in the watermark, returned in public access-status responses or used to grant demo access. VPNs, proxies and shared networks can affect the address; it does not verify a person or precise location. We do not use it to look up your location or contact a third-party IP lookup service. Any recorded IP address follows the acceptance-record retention period below.

A necessary HttpOnly demo-access cookie lasts for up to eight hours and grants access only in the browser where it was issued. The server stores a hash of the session token. Ending demo access revokes that session. An evaluation reference and your provided email may appear as a watermark. We do not claim to detect or prevent operating-system screenshots or recording. Acceptance records are ordinarily retained for up to four years after acceptance, or longer where needed for a dispute or legal obligation. Contact us to request access to or correction of your information; requests to erase records may be limited by legal and evidentiary needs.

How we use information

We use submitted information to:

• Respond to your inquiry and discuss potential work.
• Understand the problem, project scope, and requested outcome.
• Improve our services, website, and client experience.
• Protect the website and prevent misuse or fraud.

Cookies and technical information

Our hosting and security providers process technical request information, including IP addresses, browser information, timestamps and performance data, to deliver and protect this site. Cloudflare may set necessary security cookies, including __cf_bm, which normally expires after 30 minutes of inactivity.

The website does not include advertising trackers. Cloudflare Web Analytics, where enabled by our hosting service, measures aggregate usage without analytics cookies or browser local storage. We do not currently offer optional advertising or analytics cookies to accept. You can manage cookies in your browser; blocking security cookies may affect access.

The contact form sends you to FormSubmit, which may present a CAPTCHA and use its own security features. Review FormSubmit’s privacy policy and Cloudflare’s cookie information for those services.

Service providers and sharing

Contact-form submissions are transmitted through FormSubmit and delivered to Kanawha AI. Our website hosting, security, and analytics are supported by Cloudflare and our website hosting provider. These providers may process information only as needed to provide their services. We do not sell or rent personal information.

We may disclose information when required by law, to protect our rights or others, or as part of a business transaction involving Kanawha AI.

Retention and security

We retain inquiry information only as long as reasonably needed to respond, maintain appropriate business records, and meet legal obligations. We use reasonable administrative and technical safeguards, but no internet transmission or storage system can be guaranteed completely secure.

Your choices

You may ask us to review, correct, or delete information you submitted through this website, subject to applicable legal and recordkeeping requirements.

Children and policy updates

This business-to-business website is not directed to children under 13. We may update this policy as our services or legal obligations change. The effective date above will identify the latest version.
